Frequently Asked Questions
What happens during the 7-day free trial?
Your plan's features are available for 7 days, except registering or claiming a domain, which starts once your paid subscription begins. You can sign your BAA during the trial; use test information only until it is signed. A credit card is required to start the trial. If you cancel before the trial ends, you won't be charged.
How quickly will my website go live?
Your site is set up automatically after checkout at yourpractice.clinicalmediahub.com, usually within a couple of hours. We email you a setup link and you create your own login. You can connect your own domain after setup.
Is my patient data protected under HIPAA?
Every plan includes HIPAA-aware infrastructure and a Business Associate Agreement (BAA), which you sign in your dashboard; you can sign it during your free trial. Each practice runs in its own application service and database, with encryption in transit and at rest and an audit log. Where Clinical Media Hub handles protected health information for you, for example patient intake forms and video visits, it does so as your Business Associate under the BAA. Your practice keeps responsibility for its own HIPAA program.
Can I switch plans later?
Yes. Upgrades take effect immediately, with a prorated charge for the rest of your billing period. On a monthly plan you can downgrade at any time; on an annual plan you can request a downgrade in the last 30 days before your renewal date. A downgrade takes effect immediately, with a prorated credit toward future invoices. During the free trial, a plan change carries no charge and applies from your first bill.
What is the difference between annual and monthly billing?
Annual plans are prepaid once a year and cost less per month: Foundation $179/month ($2,148 a year) or $199 billed monthly; Growth $299/month ($3,588 a year) or $359; Complete $429/month ($5,148 a year) or $529. Annual billing saves up to 19%. You can cancel online at any time; cancellation takes effect at the end of your current billing period (for an annual plan, the end of the paid term), with no refunds for partial periods.
Do I need to select a design before purchasing?
Yes. Your site is built on one of our 7 website designs, and checkout asks for your design before payment. Pick a design on the Designs page, then a plan; if you pick a plan first, we take you to the designs before checkout. Every design works with every plan, and you customize it with your logo, colors, and content.
Do you offer video visits?
Yes, on every plan: Foundation includes 500 minutes a month, Growth 5,000 and Complete 10,000, covered by your BAA. On monthly Growth and Complete plans you can add 2,000-minute blocks for $29 a month each from your dashboard.
What if I need help getting started?
Setup is automated: your site is created from the design you chose, and a setup wizard walks you through your practice details, logo, services and team. You review your site, then connect your domain. Questions? Email support@clinicalmediahub.com.
